2 Hour Special Events

Cancellation Policy

BOOKING RETAINER A 15% nonrefundable booking retainer is required at booking. It is applied toward the total price and secures the requested date, time, characters, and performers. The retainer is nonrefundable because KZ Characters reserves staff and costumes, begins event preparation, and may decline other bookings for that time. FINAL PAYMENT The remaining balance is due seven days before the event. CANCELLATIONS All cancellation and rescheduling requests must be submitted by email. Cancellations received at least 72 hours before the event will result in the loss of the 15% retainer. Any additional payments will be refunded. Cancellations received within 72 hours will result in the loss of the retainer plus a $50 cancellation fee. Any remaining refundable balance will be returned. RESCHEDULING Clients may request one reschedule with at least 72 hours’ written notice. The new event must occur within 12 months and is subject to character and performer availability. Payments may be transferred to the approved date. Additional charges may apply if the date, location, duration, characters, or services change. WEATHER AND OUTDOOR EVENTS: Rain, ordinary snowfall, cold temperatures, mud, wet ground, and similar seasonal conditions do not qualify for cancellation, rescheduling, or a refund. For outdoor events, the client must provide a clean, dry, level, and sheltered performance area protecting performers and costumes from rain, snow, mud, standing water, and unsafe conditions. A private, dry, weather-protected changing area is also required. Weather-related rescheduling will only be considered for severe or dangerous conditions, including tornado warnings, lightning, severe thunderstorms, major snowstorms, government travel bans, or dangerous roads. KZ Characters may pause, relocate, shorten, or discontinue an appearance if conditions threaten the safety of performers, guests, or costumes. No refund will be issued if the client fails to provide the required sheltered performance or changing areas. If severe weather prevents safe performance, payments may be transferred to one rescheduled date within 12 months, subject to availability. The 15% retainer remains nonrefundable. CANCELLATION BY KZ CHARACTERS If KZ Characters cancels and cannot provide a suitable replacement or mutually agreed rescheduled date, all payments, including the retainer, will be refunded. By booking, the client confirms that they have read, understood, and agreed to these terms.
