Cancellation Policy

A $50 nonrefundable booking retainer is required at the time of booking. The retainer is applied toward the total event price and secures the requested date, time, character, and performer. The retainer is nonrefundable because KZ Characters reserves the performer and costume specifically for the event, begins preparing for the appearance, and may decline other booking opportunities for the reserved time. FINAL PAYMENT is due before the scheduled start time. CANCELLATIONS All cancellation requests must be submitted in writing by email or text message. Cancellations received more than 72 hours before the scheduled event will result in the loss of the $50 nonrefundable retainer. Any additional payments received will be refunded. Cancellations received within 72 hours of the scheduled event will result in the loss of the $50 nonrefundable retainer plus an additional $50 cancellation fee. Same-day cancellations and client no-shows are nonrefundable. Clients who fail to appear without providing notice may also be added to our do-not-book list and denied future booking requests. RESCHEDULING Clients may request one rescheduled date by providing at least 72 hours' written notice. The new date must occur within 12 months of the original event date and is subject to character and performer availability. Payments received may be transferred to the approved rescheduled date. Additional charges may apply if the date, location, character, duration, or service requirements change. Requests made within 72 hours may be subject to the $50 cancellation fee. WEATHER-RELATED CONDITIONS Rain, ordinary snowfall, cold temperatures, mud, wet ground, or similar seasonal conditions are not considered grounds for cancellation, rescheduling, or a refund. For outdoor events, the client must provide a clean, dry, level, and sheltered performance area that protects the performers and costumes from rain, snow, mud, standing water, and other unsafe or damaging conditions. The client must also provide a private, dry, and weather-protected changing area. Weather-related rescheduling will only be considered for severe or dangerous conditions, including tornado warnings, severe thunderstorms, lightning, major snowstorms, government-issued travel bans, dangerous road conditions, or other circumstances that make travel or performance unsafe. No refund will be issued if the client fails to provide the required sheltered performance and changing areas.
